This receipt maker produces a receipt for a payment you have received, whether it was for goods, a service, rent, or a deposit. Pick the title that fits: Receipt, Cash Receipt, Rent Receipt, or Payment Receipt. Enter who paid, what they paid for, how they paid, and a reference such as a bank or UPI number. The tool adds a receipt number, works out the total with optional tax, and writes the amount received in words. Amount paid matches the total unless you change it, and a part payment shows the balance still due. It works in 25 currencies and prints on A4 or US Letter paper. Landlords, tutors, market stalls, drivers, and repair shops use it when someone asks for proof of payment. It is not a till and does not keep a sales log. The receipt is put together on your device, and none of the details reach our server.
How to use the Receipt Maker
- Enter the name of the business or person receiving the money, and add a logo if you have one.
- Choose the receipt title, then add the payer's name, the receipt number, the date and the currency. Tip: Rent Receipt adds 2 dates for the period the rent covers.
- Add what was paid for, any tax, the payment method and the payment reference. Tip: Change Amount paid only when the payer paid part of the total.
- Choose A4 or US Letter in Settings, then download the PDF or print the receipt.
Worked example
Sunrise Apartments in Bengaluru gives tenant Rahul Verma a rent receipt for October. All figures are INR, with no tax.
| Input | Value |
|---|---|
| Title and number | Rent Receipt, RCPT-0021 |
| Date | 29 October 2026 |
| Rent period | 1 October 2026 to 31 October 2026 |
| Monthly rent, 1 at INR 18,000.00 | INR 18,000.00 |
| Maintenance, 1 at INR 1,500.00 | INR 1,500.00 |
| Paid by | Bank transfer, reference UPI 4471 |
Monthly rent: 1 x 18,000.00 = INR 18,000.00 Maintenance: 1 x 1,500.00 = INR 1,500.00 Subtotal: 18,000.00 + 1,500.00 = INR 19,500.00 No tax, so the total is INR 19,500.00 Amount received follows the total: INR 19,500.00 by Bank transfer Balance due: 19,500.00 - 19,500.00 = 0.00, so no balance line prints In words: Nineteen thousand five hundred rupees only
- Total
- ₹19,500.00
- Amount received
- ₹19,500.00
- In words
- Nineteen thousand five hundred rupees only
With the English (India) number format, amounts are grouped in lakhs and crores: 1,250,000 rupees prints as ₹12,50,000.00. With English (US), 1,250,000 dollars prints as $1,250,000.00. The PDF of this example is saved as receipt-RCPT-0021-rahul-verma.pdf.
How the receipt amounts are worked out
Line total = quantity x unit price, rounded to the smallest unit
Subtotal = sum of the line totals
Total = subtotal - discount + tax 1 + tax 2 + shipping
Amount paid = total, until you type a different amount
Balance due = total - amount paid, never below 0
In words = amount paid, written out in English
The receipt adds up its lines the same way as the other document tools. Each line is rounded half up to the smallest unit of the currency, and the subtotal is the sum of those rounded lines. A discount, 2 tax lines and shipping are there when you need them, and all of them start switched off. A rent or deposit receipt usually carries no tax, so the total and the subtotal are the same.
Amount paid starts equal to the total and follows it as you add or change lines. Once you type your own figure, it stops following and keeps what you typed. When that figure is lower than the total, a Balance due line appears on the receipt with the difference. When it matches the total, no balance line is printed, because nothing is owed. Amount paid cannot be negative.
The words line spells out the amount paid, not the total, because a receipt confirms money received. It uses the currency's own names for the main and the minor unit, such as rupees and paise or pounds and pence. A whole amount ends with the word only, so 19,500.00 rupees reads Nineteen thousand five hundred rupees only. Amounts up to 999,999,999,999 can be written out.
The Rent Receipt title shows 2 extra dates for the period the rent covers. An end date before the start date shows an error, and the PDF is held back until it is fixed. The other titles hide the period fields and leave them off the page. The payment method, such as cash, bank transfer, card, check or mobile money, prints in an Amount received line above the Received by signature.
Number grouping follows the number format in Settings. English (India) groups in lakhs and crores, so 12,50,000.00, while English (US) and English (UK) group in thousands. The currency symbol and decimals come from the currency you pick.
Frequently asked questions
What should a receipt include?
The name of the business or person who received the money, the date, a receipt number, what was paid for, the amount, any tax included, and how it was paid. For larger sums add the payer's name and a reference, such as a bank transfer or check number. Writing the amount in words, as this tool does, makes the figure harder to alter. The tool has a field for each of these.
Is a receipt the same as an invoice?
No. An invoice is a request for payment. A receipt is proof that the payment was made. When the payment settles an earlier invoice, type the invoice number, such as INV-0012, in the Reference box. The receipt then prints that number, and both sides can match the 2 documents later without guessing which bill was paid.
Can I make a rent receipt or a deposit receipt?
Yes. Choose Rent Receipt as the title and 2 extra dates appear for the period the rent covers, such as 1 to 31 October. For a deposit, keep the title Receipt or Payment Receipt and describe the deposit in the line item. Tax starts switched off on every receipt. Many tenants need a rent receipt for a tax return, an allowance claim, or a visa application.
Does the receipt maker keep a record of my sales?
No. It runs in your browser and sends nothing to us. Only the receipt you are working on is saved, in this browser, so a reload brings it back. For a record of past receipts, download each PDF to a folder on your device. A full sales log or stock count needs accounting or point of sale software, which this page does not replace.
How do I show that a receipt is for a part payment?
Enter the full amount owed as the line items, so the total is what the payer owes. Then change Amount paid to the sum actually received. The receipt prints the amount paid, a Balance due line for the rest, and the amount received in words. When the balance arrives, issue a second receipt with its own number for that payment.
