This payslip generator makes a payslip, pay stub, or salary slip for an employee or for yourself. This tool does not calculate tax. Enter the amounts from your payroll. You type each earning, such as basic salary, overtime, bonus, or an allowance, and each deduction, such as income tax, social security, or pension, as an amount. For hourly lines, enter hours and a rate and the amount is filled in for you. The tool adds up gross pay, total deductions, and net pay, writes net pay in words, and can print employer contributions and year to date totals in their own boxes. No country's tax rules are built in, so it works for any country, currency, and pay frequency. The figures on a payslip are someone's wages, so they stay in this browser and are never uploaded to our server.
How to use the Payslip Generator
- Enter the employer name and its tax or payroll reference, then the employee's name, ID, job title and payment method.
- Set the pay period, the pay date and the pay frequency.
- Add the earnings. For hourly work, fill in the hours and the rate, and the amount is worked out. Tip: Clear the hours to type the amount by hand again.
- Add each deduction as an amount copied from your payroll records. Tip: Employer contributions go in their own box and do not reduce net pay.
- Switch on year to date if you have those totals, check the preview, then download the PDF.
Worked example
Harbour Studio Ltd pays designer Jane Okafor for October, with 10 hours of overtime. All figures are GBP and every deduction was typed in from the employer's payroll records.
| Input | Value |
|---|---|
| Payslip number | PAY-0003 |
| Pay period | 1 October 2026 to 31 October 2026 |
| Pay date and frequency | 29 October 2026, Monthly |
| Basic salary | GBP 3,000.00 |
| Overtime, 10 hours at GBP 25.00 | GBP 250.00 |
| Income tax | GBP 480.00 |
| National Insurance | GBP 162.50 |
| Employer NI and employer pension | GBP 310.00 and GBP 97.50 |
Overtime: 10 x 25.00 = GBP 250.00 Gross pay: 3,000.00 + 250.00 = GBP 3,250.00 Total deductions: 480.00 + 162.50 = GBP 642.50 Net pay: 3,250.00 - 642.50 = GBP 2,607.50 Employer contributions: 310.00 + 97.50 = GBP 407.50, not deducted Total cost to the employer: 3,250.00 + 407.50 = GBP 3,657.50
- Gross pay
- £3,250.00
- Total deductions
- £642.50
- Net pay
- £2,607.50
- Net pay in words
- Two thousand six hundred and seven pounds and fifty pence
The tax and National Insurance figures are the employer's own payroll figures. The tool did not work them out.
How the payslip adds up
Earning amount = hours x rate, rounded to the smallest unit (or the amount you type)
Gross pay = sum of the earning amounts
Total deductions = sum of the deduction amounts
Net pay = gross pay - total deductions
Employer total = sum of the employer contributions (not deducted)
Total cost to employer = gross pay + employer total
The payslip has 2 tables in place of line items: earnings and deductions. An earnings row can hold hours or units, a rate and an amount. When both hours and rate are filled in, the amount is hours times rate, rounded half up to the smallest unit, and the amount box locks so the 2 cannot disagree. Clear the hours or the rate and the box unlocks, keeping the last amount until you type a new one. A salary row has no hours, so you type its amount directly.
Gross pay is the sum of the earning amounts. Total deductions is the sum of the deduction amounts, and net pay is gross pay minus total deductions. Every deduction is a plain amount. If your payroll gives a percentage, such as a pension of 5% of gross, work out the amount first: 5% of 3,250.00 is 162.50. That keeps every printed line equal to the figure on your payroll report.
If the deductions add up to more than gross pay, the editor shows the negative net pay with the warning Deductions exceed gross pay, and the PDF is blocked until the figures are fixed. A negative net pay never reaches a printed payslip. A pay period that ends before it starts also shows an error.
Employer contributions, such as employer social insurance or pension, are printed in their own box marked not deducted. They do not change net pay. The box adds them up and shows the total cost to the employer, gross pay plus contributions. Year to date figures are typed by you, not added up from earlier payslips, because the tool keeps no history.
Pay frequency can be monthly, semi monthly, fortnightly or weekly. Duplicate makes the next payslip with a new number and moves the pay period forward by one step of that frequency, so October becomes November. Net pay is written out in words with the currency's own names. For UK pay, the UK salary and tax calculators work out the income tax and National Insurance lines from the published rates, so a payroll figure can be checked before it is typed in.
Frequently asked questions
What should a payslip show?
The employer and employee names, the pay period and pay date, gross pay with each earnings line, each deduction with its name and amount, and net pay. Many countries also require the hours worked for hourly staff, a tax or payroll reference, and year to date totals. Check what your country makes mandatory. The generator has a field for each of these, plus the employee ID, job title and department.
Does the payslip generator calculate my income tax?
No. It adds and subtracts the amounts you type and nothing else. It holds no tax bands, social security thresholds or allowances for any country. That is deliberate: it works the same everywhere and can never apply the wrong year's rules without you noticing. Take each deduction from your payroll software, your accountant, or your tax authority's own calculator, then type it in.
Can I use this to make a pay stub for proof of income?
You can make a payslip for wages you genuinely pay or receive, for example when a small employer has no payroll software. Making a payslip with false figures to get a loan, a lease or a visa is fraud in most countries, and lenders often check with the employer or the bank. Do not use this tool for that purpose.
What is the difference between gross pay and net pay?
Gross pay is everything earned in the period before anything is taken off: salary, overtime, bonus and allowances. Net pay is what reaches the bank account after tax, social security, pension and other deductions. The payslip prints both, lists every deduction in between, and spells out net pay in words so the figure is hard to misread or alter.
How do I show employer contributions, such as employer pension or social insurance?
Switch on Show employer contributions and add each one as a line. They print in a separate box marked not deducted, so the employee can see them, but they do not change net pay because the employer pays them on top of wages. The box also shows the total cost to the employer, which is gross pay plus the contributions.
